For GDPro trusts and their offices

Owners can now update their details online

Update Details is a page on our website where owners send your trust a new postal address, phone number, email, bank account, IRD number or name, with a photo of their ID. Your office checks the proof, then writes the change into GDPro.

Sending the form below doesn't commit your trust to anything.

How it works

From the owner to GDPro in four steps

  1. The owner sends their updateThey tick your trust, say who they are, tick what has changed and add a photo of their ID, on a phone, tablet or computer. They don't need a login. They get a reference number on screen, and by email when they give an email address.
  2. Your office is toldAn email to your office's addresses says an update has arrived and what kinds of change it holds. It holds no owner's name, address, bank account or IRD number.
  3. Your office checks itYour staff sign in with their own login, look at the proof and pick the owner in GDPro. The page suggests likely owners from the name, date of birth and owner number.
  4. GDPro is updatedEach change shows beside what GDPro has now. Your office ticks what to write and presses Update GDPro. GDPro's own audit records each field under "Portal:" and the staff member's name. The owner can be emailed when it's done.

What owners can send

Six kinds of change

  • Postal addressWhere your trust sends letters and statements.
  • Phone and email
  • Bank accountWith proof of the account. The form checks the account number's check digits before it can be sent.
  • IRD numberIts check digit is checked too.
  • NameWith a marriage certificate, deed poll or other document. The old name can be kept in GDPro as an alias.
  • Something elseIn the owner's own words. Your office makes that change in GDPro itself.

An owner in several trusts ticks each one, and each trust gets its own request to work. Whānau helping an owner add proof that they can act for them, such as an enduring power of attorney.

Safeguards

What protects your owners

  • Each trust sees only its own updatesAn office login sees only the updates sent to the trusts it has been given.
  • Nothing reaches GDPro until your office presses UpdateIf someone changes that owner in GDPro while your office is looking, nothing is written until they check again.
  • Only your trust's ownersWhere several trusts share one GDPro database, Arise links your trust to its own GDPro trust, and your office can only choose owners with shares in it.
  • Payment method stays as it isIt changes only if your office ticks it.
  • The old email address is toldIf GDPro had a different email for the owner, that address is told about the change unless your office unticks it. That way a real owner hears about an update someone else sent.
  • Proof documents are deleted30 days after every trust has finished the update. The record of what changed is kept.
  • Records stored in Aotearoa New ZealandEmails never carry owners' documents, addresses, bank accounts or IRD numbers.

Arise connects your trust to its GDPro database. Before your trust goes on the form, we check that GDPro's own audit is switched on.

Logins

A login for each person

Each person who checks and applies updates gets their own login and chooses their own password. A new computer or phone asks for a code emailed to them.

Where your office is told

The addresses you give us. Arise sends a test email to each one before your trust goes on the form. Each address can have an email for every update, or one summary a day.

Several trusts

Several trusts, one office

An office that runs several trusts lists them all on one form, each with its own addresses if they differ. Each trust gets its own updates, and one login can work any number of trusts. Arise sets them up as one office, so when a trust is added to your office later, your logins see it straight away.

Who will check and apply updates

Each person gets their own login once Arise has set up your trust, up to 15 people. Sign-in codes go to their email, so it needs to be the person's own address, not a shared inbox.
